1. WHAT THIS AGREEMENT COVERS

These terms govern submission and display of creative works (“Your Submission”) on the Woven Realms website, including wovenrealms.org and all associated pages (“Website”).

Important: These terms are separate from the Woven Realms Universe License (WRUL). Your work may be displayed on the Website without becoming part of the official Codex Materials, and you retain full control over your work’s licensing.

2. SUBMISSION AND OWNERSHIP

2.1 Your Ownership

You retain complete ownership and all intellectual property rights in your Submission. This includes:

• Copyright in your creative work

• All original elements you created

• All moral rights

2.2 What You’re Submitting

When you submit a work to the Woven Realms Website, you are submitting:

• Original elements (characters, plot, artwork, game mechanics, etc.)

• Codex Materials (shared lore you reference)

Your Submission may contain both, and ownership/licensing differs for each (see Section 4).

3. LICENSE GRANT FOR WEBSITE DISPLAY

3.1 Website Display Permission

By submitting your work to the Woven Realms Website, you grant Woven Realms a non-exclusive, perpetual, worldwide, royalty-free, irrevocable license to:

(a) Display and publish your Submission on the Website

(b) Promote your Submission on the Website and through Woven Realms’ social media and marketing channels

(c) Create a public profile or showcase page for your work

(d) Link to external pages where your full work is available (e.g., Amazon, your personal website, etc.)

(e) Use excerpts, cover images, or summary text from your Submission for promotional purposes

(f) Translation for Display and Non-Commercial Promotion

Woven Realms may translate your work into other languages for the limited purposes of:

(i) Website display and accessibility for international audiences

(ii) Non-commercial promotion through Woven Realms’ official channels (website, social media, newsletters)

Translation limitations:

• Translations may NOT be monetized or sold independently without your separate written permission

• Translations may be archived on the website even after removal requests (see Section 6.1), but must be marked as archived/historical

• Translations created by third parties must comply with the same non-commercial restriction

If you request removal and revocation of promotion rights under Section 6.1(b), no new translations of your Submission will be created. Existing translations may remain per platform archival practices, but will not be actively promoted.

For submissions also governed by the Woven Realms Universe License (WRUL), the translation restrictions in Section 3.1(f) apply only to translations created by Woven Realms. Creator’s own translations of their submitted work are governed by WRUL Section 2.2 and may be licensed independently.

3.2 What This License Does NOT Include

This license does not grant Woven Realms the right to:

(a) Modify or edit your Submission (except for formatting/display purposes on the Website and translations per Section 3.1(f))

(b) Republish your full work on the Website if it’s published elsewhere

(c) Create derivative works based on your Submission (except translations)

(d) Claim ownership of your work

(e) Use your Submission for commercial purposes beyond Website operation and promotion

(f) Translate your work for commercial purposes or revenue generation (translations are limited to non-commercial website display and promotion per Section 3.1(f))

4. CODEX VS. WEBSITE CONTENT

4.1 Website Display ≠ Codex Inclusion

Having your work displayed on the Woven Realms Website does not automatically make it part of the official Woven Codex.

Example:

• You write a novel using Codex Materials

• We showcase it on the Website as “Featured Community Stories”

• Your novel and its Original Elements remain yours and are not part of the open Codex

• Only the Codex Materials you used (which are already open) are part of the Codex

4.2 How Content Becomes Part of the Codex

Content becomes part of the official Codex only if:

(a) You explicitly submit it via [wovenrealms.org/submit] as a “Codex Contribution”

(b) You provide written consent under the WRUL Section 5

(c) Woven Realms accepts your contribution in writing

Simply having your work featured on the Website does not trigger this process.

4.3 Clear Labeling

When displaying your Submission on the Website, Woven Realms will clearly label:

(a) Official Codex Materials – with WRUL notation

(b) Community Submissions – with your name/credit

(c) Your Work’s License – whatever license YOU chose for your work (if provided)

5. PROMOTION AND ATTRIBUTION

5.1 Woven Realms Will Credit You

When displaying your Submission, we will:

(a) Display your name/pseudonym as the creator

(b) Link to your own website/social media (if provided)

(c) Include your copyright and licensing information

(d) Provide a link to where your full work is available (if applicable)

5.2 You May Promote Too

You may:

(a) Publicly state your work is “featured on Woven Realms Website”

(b) Use screenshots of your featured page in marketing materials

(c) Share links to your Submission page on social media

6. REMOVAL AND TERMINATION

6.1 Your Right to Withdraw

You may request removal of your Submission from the Woven Realms Website at any time by contacting [email protected] with the subject: “Remove My Submission.”

(a) Website Removal Timeline

Woven Realms will remove or delist your Submission from the active website within 30 days of your request.

(b) Social Media and Marketing – Revocation Option

Upon your removal request, you may also request that Woven Realms revoke promotion rights to your Submission by adding “Revoke Promotion Rights” to your removal request.

If you request revocation:

(i) Woven Realms will take down active social media posts featuring your Submission within 30 days

(ii) Woven Realms will stop promoting your Submission in new marketing materials

(iii) Woven Realms will remove your Submission from promotion lists and newsletters within 7 days

(iv) Old social media posts may remain in social media archives (due to platform limitations), but will be marked as “archived” and will not be actively promoted or boosted

(c) What Removal Does NOT Affect

Removal from the Website does not affect:

• Third-party shares or citations of your work (beyond Woven Realms’ control)

• Cached or archived versions on third-party platforms

• Historical blog posts that mention your work (though new blog posts will not feature it)

(d) Effect of Revocation

Once revocation is in effect:

• Your Submission is no longer part of active Woven Realms promotion

• Woven Realms may not create new translations of your work (see Section 3.1(f))

• Woven Realms may not use excerpts or cover images in new promotional materials

• Existing translations remain available per Section 3.1(f), but no new translations will be created

(e) Reactivation

If you change your mind, you may request reactivation by emailing [email protected]. Reactivation requests are processed within 15 days and restore promotion rights to the original terms.

(f) Dispute Resolution

If you dispute whether your removal or revocation request was properly processed, contact [email protected] with evidence. Woven Realms will respond within 15 days with confirmation of status.

6.2 Our Right to Remove

Woven Realms reserves the right to remove your Submission if:

(a) Your Submission violates the Content Standards in Section 7

(b) Your Submission infringes third-party intellectual property rights

(c) You violate these Terms

(d) Your Submission has been removed from your original publication (e.g., your novel is no longer available on Amazon)

Notice and Opportunity to Cure:

Woven Realms will provide notice and reasonable opportunity to cure before removal, except in cases of:

• Legal violation (copyright infringement, illegal content)

• Urgent safety concerns

7. CONTENT STANDARDS

Your Submission must not contain:

(a) Hateful, discriminatory, or harmful content. See Woven Realms Universe License Section 9 for detailed content standards and clarification.

(b) Defamatory or fraudulent material

(c) Content that violates third-party rights

(d) Illegal content

(e) Spam or misleading promotional material

8. DISCLAIMERS

8.1 Woven Realms Disclaimer

Woven Realms is not responsible for:

(a) Loss of revenue or income from your Submission

(b) Third-party use of your Submission in violation of its license

(c) Technical issues or downtime affecting your Submission’s availability

(d) Marketing effectiveness or audience reach

8.2 No Endorsement

Display of your Submission on the Website does not constitute endorsement of the full work or its content by Woven Realms, unless expressly stated otherwise.

9. GOVERNING LAW

These Terms are governed by the laws of Tennessee, United States, without regard to conflict of law principles.
